Office

All threads in our company converge in this department. It serves as the central interface for organising, managing and attending all of the correspondence and administrative tasks.
The department consists of executive secretariat and secretariat. There are two executive secretaries that are assigned to two partners each. Their tasks are:

  • preparing correspondence from draft, dictation or tape
  • calendar management
  • travel management
  • gathering information
  • sorting and forwarding letters and emails
  • composing of documents, preparation for shipping

Furthermore, the office attends to the staff management including accounting and contract management.
Additional fields of work are:

IT

  • handling of contract documents and specifications
  • compilation of price comparison lists
  • maintenance of text module library

Reception

  • receiving and serving visitors
  • reception and operation of telephone calls and answering enquiries by phone
  • handling and distribution of incoming correspondence and emails, preparation of outgoing mail
  • provisioning of office supplies

Accounting

  • Kontrolle der Ingenieurverträge
  • controlling of the engineer contracts
  • balancing fee accounts
  • accounts receivables
  • timekeeping and statistics
